Who it is for / Window cleaners

An AI receptionist for window cleaners.

Up a water-fed pole, you cannot answer. While You Work answers the calls you miss in your business name, finds out what the customer needs and where, and sends you the details a minute later, so new customers get onto your round.

The first 50 UK businesses get Pro for £49 a month plus VAT for their first 12 months, then £69. Plans start at £39. Your line switches on as soon as you finish the set-up form, with a 14-day money-back guarantee.

On every call

What your receptionist asks

  • What they need: windows, gutters, fascias or a conservatory
  • Where it is, at least the postcode or area
  • Whether it is a one-off or a regular clean, if they say
  • The best number to ring back, read back to check it
  • Your prices, only if you have set them and they ask

Urgent jobs

One-off urgent cleans go to the top

  • A clean needed before a sale or an event
  • A caller who says it cannot wait

Everything else is sent to you as a normal enquiry within a minute.

An example week

A week of calls to a window cleaner

Window cleaning is a round, so a new caller is worth a year of visits, not one. The receptionist takes the address and how often, and you decide if it fits the round.

The maths

What a missed call costs window cleaners

Say you miss 3 calls a week and two in five of those callers would have booked a new customer over a year worth about £300.

3 calls × 40% × £300 = £360 a week. × 52 weeks ÷ 12 = £1,560 a month of work going to someone else. An example: put your own numbers into the missed-call calculator.

A window-cleaning customer stays for years. The one who could not reach you signs up with the van they saw next street over.

Timing

When a window cleaner's phone rings

Spring, the run-up to Christmas, and whenever a new estate fills up. You are on a ladder or holding a pole, and the phone is in the van.

What callers hear

An example call, word for word

The receptionist asks one thing at a time, checks the number back and never makes up a price. The details reach you by email a minute after the call, and by text straight away when it is urgent.

Emailed to you a minute later

Maria, 07700 900342, CH2 Chester. New customer, windows cleaned monthly.

Receptionist: Hi, you’re through to Crystal Clear Windows. Rob is out on a job, so I’m the automated assistant taking the details for a call back. Calls are recorded so nothing gets missed. What’s your name?

Caller: Hi, it’s Maria. We’ve just moved in and want our windows cleaned every month.

Receptionist: Thanks, Maria. What’s your postcode?

Caller: CH2, in Chester.

Receptionist: And what’s the best number for Rob to ring you on?

Caller: 07700 900 342.

Receptionist: So that’s 07700 900 342. Is that right?

Caller: Yes, that’s right.

Receptionist: Thanks, Maria. Rob will ring you back to get you onto his round, and I’m sending you a text now to confirm.

Set up

Three steps, and you keep your number

  1. Tell us about your business

A short form made for window cleaners:

    • Your business name and first name
    • Working hours and the area you cover
    • What you do, in plain words
    • Your call-out fee, only if you want callers told
    • Whether you take emergencies out of hours
    • Anything else callers should know
    • The areas and days of your round
    • Whether you take one-off jobs or only regular customers
    • Gutters, conservatories and fascias, if you do them
  2. Switch on divert

One code on your mobile sends calls you do not answer within 20 seconds to your While You Work line. Turn it off whenever you like.

  3. Get the details in a minute

Every caller is greeted in your business name. You get the details a minute later, and the caller gets a text saying you will ring back.

Questions

Questions from window cleaners

Will it give out my prices?

Only if you add them in the set-up form. If you leave prices blank, callers are told you will confirm the price yourself. It never makes up a price.

Can it book jobs into my diary?

Yes, on the Business plan. It offers the caller your real free times, books the job and texts them a confirmation, with your deposit link if you take deposits. On Pro it can text the caller your booking link instead, and on Starter it takes the details and tells the caller you will ring back.

How much does it cost?

Starter is £39, Pro £69 and Business £129 a month + VAT, for 50, 150 or 400 calls a month. The first 50 UK businesses get Pro for £49 a month + VAT for their first 12 months. There is no contract, and if you cancel within 14 days of your line going live you get a full refund.

Can it tell people which days I am in their area?

Yes. Put your round in the set-up form and it tells callers which day you are usually nearby, then takes their address so you can confirm.

What if a regular customer rings to cancel a visit?

It takes the message with the customer's name, address and the week they want skipped, and emails it to you like any other call.
