Who it is for / Removal companies

An AI receptionist for removal companies.

On moving day your hands are full and the phone keeps ringing. While You Work answers the calls you miss in your business name, finds out what the move is, where from and when, and sends you the details a minute later.

The first 50 UK businesses get Pro for £49 a month plus VAT for their first 12 months, then £69. Plans start at £39. Your line switches on as soon as you finish the set-up form, with a 14-day money-back guarantee.

On every call

What your receptionist asks

  • The size of the move, in the caller’s own words
  • Where they are moving from, at least the postcode
  • When they need to move
  • The best number to ring back, read back to check it
  • Your prices, only if you have set them and they ask

Urgent jobs

Short-notice moves go to the top

  • A move in the next few days
  • A caller whose removal firm has let them down
  • A caller who says it cannot wait

On Pro and Business, urgent calls are texted to you straight away, and every call is emailed to you.

An example week

A week of calls to a removals firm

Removals enquiries have a fixed date and a lot of detail. The receptionist gets the date, the two addresses and the size of the move before anything else.

The maths

What a missed call costs removal firms

Say you miss 3 calls a week and two in five of those callers would have booked a house move worth about £600.

3 calls × 40% × £600 = £720 a week. × 52 weeks ÷ 12 = £3,120 a month of work going to someone else. An example: put your own numbers into the missed-call calculator.

Movers get three quotes in an afternoon. The firm that answers gets the survey, and the survey gets the job.

Timing

When a removals firm's phone rings

Fridays, the last week of every month, and the summer when family moves peak. The calls come while your crew is carrying a sofa down a staircase.

What callers hear

An example call, word for word

The receptionist asks one thing at a time, checks the number back and never makes up a price. The details reach you by email a minute after the call, and by text straight away when it is urgent.

Emailed to you a minute later

Beth, 07700 900457, DE22 Derby to Nottingham. Three-bed house move on the 28th, wants a quote.

Receptionist: Hi, you’re through to Two Brothers Removals. Adam is out on a job, so I’m the automated assistant taking the details for a call back. Calls are recorded so nothing gets missed. What’s your name?

Caller: Hi, it’s Beth. We’re moving out of a three-bed house on the 28th and need a quote.

Receptionist: Thanks, Beth. Where are you moving from?

Caller: DE22, in Derby, to Nottingham.

Receptionist: And what’s the best number for Adam to ring you on?

Caller: 07700 900 457.

Receptionist: So that’s 07700 900 457. Is that right?

Caller: Yes, that’s right.

Receptionist: Thanks, Beth. Adam will ring you back to talk through a quote, and I’m sending you a text now to confirm.

Set up

Three steps, and you keep your number

  1. Tell us about your business

A short form made for removal firms:

    • Your business name and first name
    • Working hours and the area you cover
    • What you do, in plain words
    • Your call-out fee, only if you want callers told
    • Whether you take emergencies out of hours
    • Anything else callers should know
    • Domestic, commercial or both
    • Whether you offer packing, storage and boxes
    • How far you travel and whether you do European moves
  2. Switch on divert

One code on your mobile sends calls you do not answer within 20 seconds to your While You Work line. Turn it off whenever you like.

  3. Get the details in a minute

Every caller is greeted in your business name. You get the details a minute later, and the caller gets a text saying you will ring back.

Questions

Questions from removal firms

Does it take the details I need to quote?

It takes the size of the move, where from and to, the date and the best number, so you can ring back with the right questions. It never gives a price unless you have set one.

Can it book jobs into my diary?

Yes, on the Business plan. It offers the caller your real free times, books the job and texts them a confirmation, with your deposit link if you take deposits. On Pro it can text the caller your booking link instead, and on Starter it takes the details and tells the caller you will ring back.

How much does it cost?

Starter is £39, Pro £69 and Business £129 a month + VAT, for 50, 150 or 400 calls a month. The first 50 UK businesses get Pro for £49 a month + VAT for their first 12 months. There is no contract, and if you cancel within 14 days of your line going live you get a full refund.

Will it collect both addresses and the moving date?

Yes. It asks where from, where to, the date, and roughly how much is being moved, then reads the number back, so your quote call starts with the facts.

Can it say we need a survey before quoting?

Yes. If you put that in set-up, it explains you will arrange a survey or video call and takes the details for it.
