Why a cancellation cannot wait until tonight

A cancellation you hear about at eight in the evening is a gap in tomorrow’s diary you can no longer fill. Heard about between lessons, it is a slot you can offer to a pupil who wants more hours.

What your receptionist does when a pupil cancels

  • Takes the pupil’s name and the best number for them
  • Takes the date and time of the lesson
  • Notes whether they want to cancel or move it, and any day they suggest instead
  • Tells them you will confirm by text
  • Flags a lesson in the next 24 hours as urgent

Your cancellation notice, the same every time

Add your cancellation notice in the set-up form, for example 48 hours or the lesson is charged. Your receptionist can tell pupils your notice period, so they hear the same policy every time, and you decide what happens next.

What reaches you, and when

Cancellations inside 24 hours are texted to you straight away and marked URGENT, so you see them between lessons. Every call is also emailed to you, and with notifications turned on your phone shows it too.

Caller: Hi, it’s Callum, I’m one of Sarah’s pupils. I can’t make my lesson at nine tomorrow morning.

Receptionist: Thanks, Callum. That’s tomorrow at nine. I’ll mark it as urgent so Sarah sees it straight away. Would you like to move it to another day?

Caller: Yes, Saturday if she has anything.

Receptionist: I’ll pass that on, and Sarah will confirm by text.

Receptionist: And what’s the best number for Sarah to ring you on?

Caller: 07700 900 408.

What counts as an urgent cancellation?

A lesson cancelled or moved within the next 24 hours. It is texted to you straight away and marked urgent, so you can fill the slot or reply to the pupil between lessons.

Will it charge a pupil for a late cancellation?

No. It never takes payments. It can tell pupils your cancellation notice if you have set one, and you decide what happens.

Can pupils cancel by website chat or email too?

Yes, if you add those modules. Website chat and email replies take cancellations the same way, and every conversation shows in your dashboard inbox.

Does it move the lesson in my diary?

No. Cancellations and changes are passed to you to confirm, so nothing in your diary moves without you.
