Who it is for / Clinics and therapists

An AI receptionist for clinics and therapists.

You cannot stop a treatment to answer the phone. While You Work answers the calls you miss in your clinic’s name, finds out what the caller needs and when they would like to come in, and texts you the details a minute later. It never gives medical advice.

Founding members pay £49 and their line switches on as soon as they finish the set-up form. The first week on a live line is free.

On every call

What your receptionist asks

  • What the caller needs, in their own words
  • Whether they are a new or an existing client
  • When they would like to come in
  • The best number to ring back, read back to check it
  • Your prices, only if you have set them and they ask

Urgent jobs

Same-day problems go to the top

  • A client who cannot make today’s appointment
  • An existing client with a problem after treatment
  • A caller who says it cannot wait

The receptionist never gives medical advice. If a caller describes a medical emergency, it tells them to ring 999, or 111 if it is not life-threatening, before taking any message.

What callers hear

An example call, word for word

The receptionist asks one thing at a time, checks the number back and never makes up a price. The details reach you by email a minute after the call, and by text straight away when it is urgent.

What reaches you

Gareth (new client), 07700 900553. Hurt his back lifting, would like an appointment Thursday or Friday after work.

Receptionist: Hi, you’re through to Harbour Physio. Tom can’t get to the phone right now, but I can take your details so he can get back to you. Calls are recorded so nothing gets missed. What’s your name?

Caller: It’s Gareth. I’ve hurt my back lifting and wondered if Tom has anything this week.

Receptionist: Thanks, Gareth. I’m sorry to hear that. Have you seen Tom before?

Caller: No, I haven’t.

Receptionist: Which days would suit you this week?

Caller: Thursday or Friday, after work if possible.

Receptionist: And what’s the best number for Tom to ring you on?

Caller: 07700 900 553.

Receptionist: So that’s 07700 900 553. Is that right?

Caller: Yes.

Receptionist: Thanks, Gareth. Tom will ring you back about an appointment, and I’m sending you a text now to confirm.

Set up

Three steps, and you keep your number

  1. Tell us about your business

A short form made for clinics:

    • Your business name and first name
    • Opening hours and where you are
    • What your business does, in plain words
    • Your prices, only if you want callers told
    • Your booking or cancellation policy
    • Whether customers ever need you urgently
    • Anything else callers should know
  2. Switch on divert

One code on your mobile sends calls you do not answer within 20 seconds to your While You Work line. Turn it off whenever you like.

  3. Get the details in a minute

Every caller is greeted in your business name. You get the details a minute later, and the caller gets a text saying you will ring back.

Questions

Questions from clinics

Will it give medical advice?

No. It takes the caller’s details and passes them to you. If a caller describes a medical emergency, it tells them to ring 999, or 111 if it is not life-threatening, before taking a message.

Can it book appointments into my diary?

Yes, with the Voice Booking and Pay module. It offers the caller your real free times, books the appointment and texts them a confirmation, with your deposit link if you take deposits. Without the module it takes the details and tells the caller you will ring back.

Are calls recorded?

Yes. Every caller is told at the start that calls are recorded. Recordings are deleted after 30 days, and you choose which email addresses receive the call details.

Will clients know it is not me?

It answers in your clinic’s name with a natural British voice. If someone asks, it says it is your automated assistant and carries on taking the details.

How much does it cost?

£49 a month including VAT for founding members, locked for as long as you stay, with no contract and the first week free once your line is live.
