Who it is for / Personal trainers

An AI receptionist for personal trainers.

Mid-session, your phone stays in the bag. While You Work answers the calls you miss in your business name, finds out what the caller wants, whether they are new, and when they would like to start, and sends you the details a minute later.

Founding members pay £49 and their line switches on as soon as they finish the set-up form. The first week on a live line is free.

On every call

What your receptionist asks

  • What they want help with
  • Whether they are a new or an existing client
  • When they would like to start or train
  • The best number to ring back, read back to check it
  • Your prices, only if you have set them and they ask

Urgent jobs

Today’s changes go to the top

  • A client who cannot make today’s session
  • A caller who says it cannot wait

The receptionist never gives fitness, injury or medical advice. If a caller describes a medical emergency, the receptionist tells them to ring 999, or 111 if it is not life-threatening, before taking any message.

Real calls

A week of calls to a personal trainer

A trainer's phone rings during sessions, and a new-client enquiry is worth a block of ten. The receptionist gets the goal and the availability, and books the first chat.

The maths

What a missed call costs personal trainers

Say you miss 3 calls a week and two in five of those callers would have booked a block of ten sessions worth about £400.

3 calls × 40% × £400 = £480 a week. × 52 weeks ÷ 12 = £2,080 a month of work going to someone else. An example: put your own numbers into the missed-call calculator.

New clients ring two or three trainers. The one who answers, or whose receptionist does, gets the consultation and the block.

Timing

When a personal trainer's phone rings

January, September, and the six weeks before summer. The calls come at 6am and 6pm, which is when you are counting reps for someone else.

What callers hear

An example call, word for word

The receptionist asks one thing at a time, checks the number back and never makes up a price. The details reach you by email a minute after the call, and by text straight away when it is urgent.

What reaches you

Owen (new client), 07700 900247. Wants to get fit for a charity run in March, evenings, start soon.

Receptionist: Hi, you’re through to Strong Start PT. Jess can’t get to the phone right now, but I can take your details so she can get back to you. Calls are recorded so nothing gets missed. What’s your name?

Caller: Hi, it’s Owen. I want to get fit for a charity run in March and I’m looking for a trainer.

Receptionist: Thanks, Owen. Have you trained with Jess before?

Caller: No, I haven’t.

Receptionist: When would you like to start?

Caller: As soon as possible. Evenings suit me.

Receptionist: And what’s the best number for Jess to ring you on?

Caller: 07700 900 247.

Receptionist: So that’s 07700 900 247. Is that right?

Caller: Yes, that’s right.

Receptionist: Thanks, Owen. Jess will get back to you about starting, and I’m sending you a text now to confirm.

Set up

Three steps, and you keep your number

  1. Tell us about your business

A short form made for personal trainers:

    • Your business name and first name
    • Opening hours and where you are
    • What your business does, in plain words
    • Your prices, only if you want callers told
    • Your booking or cancellation policy
    • Whether customers ever need you urgently
    • Anything else callers should know
    • In person, online or both
    • Where you train: gym, studio, outdoors, client's home
    • Whether the first session is a free consultation
  2. Switch on divert

One code on your mobile sends calls you do not answer within 20 seconds to your While You Work line. Turn it off whenever you like.

  3. Get the details in a minute

Every caller is greeted in your business name. You get the details a minute later, and the caller gets a text saying you will ring back.

Questions

Questions from personal trainers

Will it give fitness or injury advice?

No. It takes the details and passes them to you. If a caller describes a medical emergency, it tells them to ring 999, or 111 if it is not life-threatening.

Can it book sessions into my diary?

Yes, with the Voice Booking and Pay module. It offers the caller your real free times, books the session and texts them a confirmation, with your deposit link if you take deposits. Without the module it takes the details and tells the caller you will ring back.

How much does it cost?

£49 a month including VAT for founding members, locked for as long as you stay, with no contract and the first week free once your line is live.

Can it explain how the first session works?

Yes. Whatever you put in set-up, for example a free 30-minute consultation, it explains to new callers and takes their availability for it.

Will it give my rates?

Only the rates you have listed, read as written. If you prefer to discuss pricing on the consultation, leave them out and it says you will go through options when you speak.
