Who it is for / Estate and letting agents

An AI receptionist for estate and letting agents.

Out on a viewing, you miss the next valuation call. While You Work answers the calls you miss in your agency’s name, finds out what the caller needs, whether they are new and when, and sends you the details a minute later.

The first 50 UK businesses get Pro for £49 a month plus VAT for their first 12 months, then £69. Plans start at £39. Your line switches on as soon as you finish the set-up form, with a 14-day money-back guarantee.

On every call

What your receptionist asks

  • What they need: a valuation, a viewing or help with a rental
  • Whether they are a new or an existing customer
  • When would suit them
  • The property postcode, if they give it
  • The best number to ring back, read back to check it

Urgent jobs

Urgent calls go to the top

  • A tenant with a problem that cannot wait
  • A viewing today that has to change
  • A caller who says it cannot wait

On Pro and Business, urgent calls are texted to you straight away, and every call is emailed to you.

An example week

A week of calls to an estate agent

Every missed call at an agency is a valuation, a viewing or a vendor. The receptionist takes the property, the caller's position and the timing, and marks the valuations.

The maths

What a missed call costs estate agents

Say you miss 4 calls a week and two in five of those callers would have booked a valuation lead worth about £500.

4 calls × 40% × £500 = £800 a week. × 52 weeks ÷ 12 = £3,467 a month of work going to someone else. An example: put your own numbers into the missed-call calculator.

One valuation in five becomes an instruction, and an instruction is worth thousands in fees. The lead that reached voicemail rang the agent whose board is next door.

Timing

When an estate agent's phone rings

Saturday mornings, Monday after the weekend portals, and the evenings when listings go live. Viewings mean the office phone rings when nobody is at a desk.

What callers hear

An example call, word for word

The receptionist asks one thing at a time, checks the number back and never makes up a price. The details reach you by email a minute after the call, and by text straight away when it is urgent.

Emailed to you a minute later

Graham (new), 07700 900358, PO4 Southsea. Wants a valuation, weekdays after 4pm.

Receptionist: Hi, you’re through to Harbour Homes. Thanks for calling, I’m the automated assistant. Claire can’t get to the phone right now, but I can take your details so she can get back to you. Calls are recorded so nothing gets missed. What’s your name?

Caller: Hi, it’s Graham. I’m thinking of selling and I’d like a valuation.

Receptionist: Thanks, Graham. Have you used Harbour Homes before?

Caller: No.

Receptionist: When would suit you for someone to come round?

Caller: Any weekday after four.

Receptionist: And what’s the postcode of the property?

Caller: PO4, in Southsea.

Receptionist: And what’s the best number for Claire to ring you on?

Caller: 07700 900 358.

Receptionist: So that’s 07700 900 358. Is that right?

Caller: Yes, that’s right.

Receptionist: Thanks, Graham. Claire will ring you back to arrange the valuation, and I’m sending you a text now to confirm.

Set up

Three steps, and you keep your number

  1. Tell us about your business

A short form made for estate agents:

    • Your business name and first name
    • Opening hours and where you are
    • What your business does, in plain words
    • Your prices, only if you want callers told
    • Your booking or cancellation policy
    • Whether customers ever need you urgently
    • Anything else callers should know
    • Sales, lettings, or both
    • Whether you manage properties and take maintenance calls
    • How valuations are booked and who does them
  2. Switch on divert

One code on your mobile sends calls you do not answer within 20 seconds to your While You Work line. Turn it off whenever you like.

  3. Get the details in a minute

Every caller is greeted in your business name. You get the details a minute later, and the caller gets a text saying you will ring back.

Questions

Questions from estate agents

Does it take tenant repair calls?

Yes. It takes the tenant’s name, number, the property and the problem, and anything they say cannot wait is flagged as urgent and, on Pro and Business, texted to you straight away.

Can it book viewings into my diary?

Yes, on the Business plan. It offers the caller your real free times, books the viewing and texts them a confirmation, with your deposit link if you take deposits. On Pro it can text the caller your booking link instead, and on Starter it takes the details and tells the caller you will ring back.

How much does it cost?

Starter is £39, Pro £69 and Business £129 a month + VAT, for 50, 150 or 400 calls a month. The first 50 UK businesses get Pro for £49 a month + VAT for their first 12 months. There is no contract, and if you cancel within 14 days of your line going live you get a full refund.

Can it tell a valuation from a viewing?

Yes. It asks whether the caller is selling, buying, renting or already a tenant, and the message says which, so valuations get your first call back.

Will it handle tenant maintenance calls?

If you manage properties, tell it in set-up. It takes the address and the fault, marks anything with no heating, no water or a leak as urgent, and texts you.
